Event Planning Guidelines

 

All events should satisfy the five senses—sight, sound, smell, taste, and feelings. It should be a memorable occasion for both you and your audience with everyone leaving feeling energized and happy. They also should leave with a positive image of the college and want to come back again when invited. To do this effectively requires planning and attention to many details. The College Events Coordinator can assist you with your event and make it a pleasant experience for both you and your audience.

To understand what the college considers an event, it is necessary to look at our two distinct audiences—the internal college community and the external public.

An internal college event is any opportunity the internal audience has to interact with the whole college community. Retirement receptions, fall conference, quarterly award ceremonies, retirees social and Christmas socials are some examples of internal events.

An external event can be described as any opportunity members of the college community have to interact with the public. Conferences, seminars, ground breakings, building dedications, public meetings, open houses, etc. are considered external events.

The position of College Event Coordinator has been developed to assist the college community in conceptualizing, planning, coordinating, and executing successful events that are consistent with the strategic goals of the college. To ensure a successful event, it is important to use the following steps:

Step One: Contact the College Event Coordinator at 704-330-6667
In this initial discussion you will be asked some details about your event as well as what goals you are trying to achieve. Also, it will be suggested that you complete a Creative Work Plan to assist you in determining what kind of event would be appropriate for your situation and to set a time for a follow-up meeting.

Step Two: Complete a Creative Work Plan.

Step Three: Bring the completed Creative Work Plan to the first event-planning meeting.
At this meeting, discussion will center on determining the kind of event that will be appropriate for your audience as well as determining what will be the best measure of the event’s success. These determinations come from the information you have completed in the Creative Work Plan. In addition, you will be given an event planning worksheet to help guide you through all of the necessary details in executing a successful event.

Step Four: Post your event on the College Events Calendar.
